Task Management Method

Essentially, a work does not exist unless someone creates it. If you are the team leader, any works won’t start until you define the tasks. Therefore, if you want to improve the current situation, it’s important to first create a task inventory.

Create Task Inventory

The process of writing down things that are unclear or ambiguous on paper is called a 'brain dump'. You write down everything until nothing else comes to mind and then organize the information afterward.

Use tossworks for the brain dump.

It's crucial to quickly and thoroughly get everything out. tossworks is designed to efficiently facilitate this process, so that Assignee and Title are only the mandatory fields. Initially, set yourself as the Assignee and visualize your thoughts as tasks in tossworks.

Categorize Tasks

Once all tasks are listed, categorize them as follows:

  • Tasks that must be done

    • Things only you can do...(1)

    • Things others can also do...(2)

  • Tasks that aren’t actually necessary...(3)

Discard the tasks categorized as (3) as they are unnecessary. This can be done from the Task details screen.

Determining between (1) and (3) might be difficult. It's an easy choice for highly capable people to do tasks themselves, but as long as you are working, you can only do the work of one person. To progress efficiently, it's important to seek help from others.

If there are tasks under (2), change the Assignee in the Task editing screen.

Repeat this process for all tasks.

Execution and Monitoring of Tasks

By now, you have categorized tasks into those only you can do (1) and those others can do (2). In the Task list screen, (1) will be shown in the left tab and (2) in the second tab from the left.

Focus on tasks in the left tab. Tackle them one by one.

Tasks delegated to others are in the second tab from the left. Immediately respond to any questions inChatand ensure that tasks are continuously being processed.

If a new Task comes up, process it using the same steps starting from the Task Inventory.
